Key Assets Nova Scotia (KANS) provides alternate care along with a wide variety of programming and other services to support children, youth and families. Working in partnership with statutory bodies, KANS strives to develop creative and innovative trauma-informed programs for the provision of unique and supportive services, tailored to meet the needs of children, youth, and families, and designed to work towards improving outcomes. KANS is currently recruiting in Halifax, NS for the position of:
Scheduling & Business Support Coordinator – Permanent Full Time Position
Reporting to the Operations Director for KANS, the Scheduling and Business Support Coordinator is responsible for:
- the development and oversight of employee schedules in all alternate care programs and related administrative duties.
- ensuring staff schedules are completed for all homes by facilitating availability process, creating bi-weekly schedules, collaborating with supervisors on time off requests and returning from leave of absence.
- utilizing call-in process to find replacements for sick/emergency call ins etc. in accordance with the prescribed process.
- verifying schedules and assigning shifts on a daily basis by managing calls from employees, recording reasons for absence, or declining shifts and liaising with management, as required.
- managing the Time and Attendance System to ensure accurate and timely payroll output.
- maintaining vacation, sick and statutory holiday leaves, including ensuring the employee has sufficient hours for the requested leave.
- collecting timesheets and facilitating timesheet edits/adjustments, as required.
- preparing timesheet summaries and submitting to the Payroll and Benefits Coordinator
- collecting and analyzing on-call reports, as required.
- acting as the first point of contact/reception for KANS.
- answering and directing all calls and inquires.
- supporting the scheduling of onboarding for new employees.
- identifying and securing training spaces, as required.
Education & Experience:
To be successful in this role, the candidate is required to have:
- Diploma/Degree in Office Administration or Business Administration.
- Minimum of 2-3 years of experience in administration.
- Experience in maintain and managing scheduling systems would be considered an asset.
Additional Requirements:
- Clear Certificate of Conduct and Vulnerable Sector Check
- Child Abuse Registry Check granting clearance
- Valid Proof of Canadian Residency
Key Assets Offers:
- Competitive salary commensurate with education and experience of $47,840 to $54,127 (current salary is under review)
